Who we are
Knoqd is a trading name of Luxo Network Ltd, registered in England and Wales, company no. 15772628. Registered office: 2 Heather Road, Emersons Green, Bristol BS16 7NL. You can reach us about anything in this policy at hello@knoqd.com.
Our two roles
For this website and for emails you send us, Luxo Network Ltd decides how your information is used. We are the controller.
Knoqd is also software that letting agencies use to run repairs and rent. When an agency uses Knoqd, the agency is the controller of the information about its tenants, landlords and contractors. We handle that information only on the agency's written instructions. If you are a tenant, landlord or contractor, please contact your letting agency first about your information. We will help them answer you.
What we collect
On this website. We use no cookies and no analytics. Our hosting provider keeps standard request logs (your IP address, browser type and the time) for a short period to keep the site secure.
When you email us. Your name, email address and whatever you tell us.
When an agency uses Knoqd. Names and contact details, property addresses, repair reports with photos and videos, access instructions, quotes, approvals, messages sent by email or WhatsApp, rent amounts and the bank statement lines needed to match rent payments.
Why we use it
We answer enquiries and keep the website safe because we have a legitimate interest in doing so. We provide Knoqd to agencies under our contract with them. Within Knoqd, information is used to send repairs to contractors, ask landlords for approval, confirm work is finished, match rent payments and send rent reminders.
Use of AI
An AI model reads the description of a repair to suggest the trade, a short summary and how urgent it is. It also helps read WhatsApp replies and draft answers that staff check. Before anything goes to the AI model we remove phone numbers, full addresses and access instructions. Bank details and bank statement lines are never sent to an AI model. AI never approves spending or changes what a landlord has agreed to.
Who we share it with
We use these providers to run Knoqd. Each one handles information only to provide its service to us.
- Google Cloud: hosting, databases, file storage and staff sign-in, in London.
- Postmark (ActiveCampaign): sending email, in the United States.
- Meta: sending and receiving WhatsApp messages, in the United States.
- Z.ai: the AI model used during our pilot, in Singapore.
We do not sell personal information or use it for advertising.
Sending information abroad
Where information leaves the UK, we rely on UK adequacy regulations or on transfer safeguards approved under UK law, such as the International Data Transfer Addendum.
How long we keep it
- Uploaded bank statement files: deleted 90 days after they have been matched.
- Repair, rent and payment records: six years, because they may be needed to settle disputes.
- Enquiry emails: up to two years after our last contact.
An agency can ask us to delete its data sooner when it stops using Knoqd, unless the law requires us to keep it.
Keeping it safe
Data is encrypted in transit and at rest. Each agency's records are kept separate from every other agency's. Links sent to tenants, landlords and contractors expire and only open the one job or request they were sent for.
Your rights
You can ask to see the information we hold about you, correct it, delete it, limit how it is used, object to its use or receive a copy to take elsewhere. Email hello@knoqd.com. We will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
